Maintenance / Training Services
ECI Roofing and Waterproofing Consulting / Management Services are custom designed to cost-effectively address specific and unique Client needs. In the execution of programs involving multiple facilities and numerous geographic locations, and when the Client / Owner has limited, or no, in-house staff available to maintain facilities, ECI is frequently asked to develop a comprehensive maintenance program designed to meet immediate and long-range needs.
Based on specific project and program requirements, ECI is prepared to provide the following services to meet facility roofing, wall cladding, waterproofing and related systems components maintenance requirements.
- Review existing program and staff resources requirements.
- Develop a basic maintenance program to address immediate and long-range needs for in-house staff and the engagement of outside resources.
- Provide basic maintenance manuals for roofing systems and exterior wall cladding systems.
- Provide training seminars for in-house staff.
- Develop budgets and schedules for materials and services.
- Identify and negotiate contracts with maintenance service and material suppliers.
- Provide quarterly, seasonal or annual inspections.
Effective Project Communication
ECI is committed to three (3) key reasons for maintaining effective project communication:
- To efficiently manage the project and achieve the client's objectives, within budget, on schedule and in compliance with government requirements.
- To prevent costly and unnecessary change orders, work stoppages, claims and accidents.
- To provide accurate documentation of the project for facility operations, maintenance, legal and historical purposes.
With each project engagement, ECI develops communication methods and procedures consistent with client requirements, local ordinances and project needs. Reporting procedures are adopted. All project related transactions and activities are documented with minutes and reports. ECI will develop and distribute schedules and agendas for planning, design and construction administration meetings. Schedules and meeting minutes will be distributed to all project team members and others on a need to know basis.
Communication in all forms - Memos, field reports, e-mails, progress reports, payment status reports, budget memos, change orders, phone, fax, and other messages - are documented and filed, maintained and distributed in a timely manner to appropriate persons as required.
Problem resolution - Although major conflicts rarely occur on ECI projects, the firm believes it is prudent to anticipate and be prepared for problems that may arise. If a problem does occur, ECI is prepared to use the following procedures (and those that the client may wish to engage) to resolve problems and prevent their reoccurrence.
- Determine whether problem or issue is covered by contract.
- Clearly identify the problem and collect all factual data.
- Bring all parties together to review situation.
- Determine the cost-benefits to all parties to resolve conflict.
- Identify members of the project team that can provide resolution and
- Charge them with the responsibility for resolving conflict quickly.
- Determine best course of action to take.
- Adjust management and workplace procedures to prevent similar problems from occurring again.
- Document all meetings and report resolution to all parties.
As a value-added service, ECI also assists clients in the recovery of warranty resources for replacement of roofing and wall materials that have failed during the warranty period. In recent years, ECI has recovered more than $12 million for clients.
Successful Project and Program Management Execution.
ECI has developed procedures and systems for successful project and program management execution. Effective project management requires a close spirit of cooperation among the Client, the Construction Manager, other consultants and the A/E firm. This can only be accomplished through partnering.
ECI will build and maintain a strong relationship with all parties involved in the project by fostering a thorough understanding of existing procedures, establishing comprehensive goals and providing strong leadership to keep the Project Management Team focused on the primary issues pertinent to successful project and program execution.
This management approach is designed to achieve the following objectives:
- Provide continuous liaison with ECI team members, Client management, and maintenance staff.
- Ensure optimal Project Team selection based upon applicable experience and capabilities.
- Facilitate rapid mobilization and quick turn-around response time.
- Provide open forums for constructive feedback and problem solving. Provide a "win-win" outcome for all project participants.
Project / Program Organization
ECI uses an organizational structure founded on clear, single-point accountability for the accomplishment of quality, safety, cost, schedule and asset risk management. It includes:
- Direct lines of authority and communication.
- Assignment of major work elements to team members.
- Reporting procedures that will ensure real-time status tracking at all
project sites.
